About the role
Four-month Winter 2027 internship supporting a wealth management team in Montreal. The Portfolio Assistant coordinates administrative operations, client communications, documentation, reporting, events, and compliance activities while helping advisors deliver efficient, accurate, and professional client service in a fast-paced financial services environment.
Responsibilities
- Manage calendars, schedules, meeting logistics, office workflows, deadlines, files, and operational documentation.
- Prepare reports, dashboards, meeting materials, client review packages, and investment discussion materials.
- Maintain accurate client records and complete administrative activities promptly and in compliance with requirements.
- Gather, format, and analyze data for regular and ad hoc reports and business insights.
- Coordinate strategic initiatives by tracking deliverables, milestones, progress, and team performance metrics.
- Identify process improvements and support marketing activities, client events, sales materials, and advisor engagement.
Client Service and Team Support
- Respond to client inquiries and manage requests professionally, efficiently, and with a client-first approach.
- Prepare information for client meetings, annual reviews, and investment-related discussions.
- Work closely with advisors, clients, and business partners to streamline team operations.
- Support relationship management and help ensure client needs are met effectively.
Risk and Compliance
- Ensure activities comply with regulatory requirements, organizational policies, and established procedures.
- Support risk management and compliance processes protecting client interests and safeguarding bank assets.
- Maintain current knowledge of investment products, services, industry trends, and regulatory requirements.
Requirements
- Post-secondary education in Business, Finance, Administration, or a related field, or equivalent education and experience.
- Zero to one year of administrative, financial services, client service, or operations support experience.
- Strong administrative, organizational, time-management, communication, and relationship-building skills.
- Experience coordinating schedules, documents, client communications, and operational processes.
- Excellent attention to detail, analytical thinking, problem-solving ability, and commitment to accuracy.
- Ability to manage competing priorities and collaborate effectively in a team-oriented environment.
